COVID-19 Email Updates for Guests

If you are having difficulty telling your guests that you have to postpone your wedding, hopefully we can make this a little easier for you.

One question we have been getting over and over has been exactly how to convey this information to your guests. Anything from couples asking us how to let their guests know that things are going on as planned to the difficult email that “un-invites” them to your wedding for their safety as well as the safety of others.

 

Honestly, event professionals have seen a lot, but nothing can possibly rival COVID-19. This has disrupted our industry in a way that no one could have anticipated or planned for. We hope that these templates will help you in your individual situations during this time of uncertainty.

HOW TO TELL PEOPLE YOUR WEDDING IS GOING ON AS PLANNED

In these uncertain times, we are all doing all that we can to keep ourselves healthy. I am sure that you find yourselves at home hugging your loved ones a little tighter not knowing what will come next. That said, we wanted to update you with regards to our wedding on __________. As of today, our wedding will be proceeding as planned. We are working closely with our amazing team of vendors to ensure that our day is not only beautiful, but safe. Here are some of the safety precautions we are putting into place. (Bullet point these items. Make them short and to the point, for example…)

– We are expecting ____ number of guests.

– Our ceremony seating will be spaced out with the chairs all disinfected.

– Hand sanitizer and wipes will be on hand on the bar and buffet.

– Our buffet will be served rather than self-serve by staff in gloves.

– We are no longer allowing children to attend.

We understand, if for any reason, you choose not to attend our wedding. You were invited because you are important to us. Safety at our celebration is our top priority. However, for the sake of our vendors, please let us know as soon as possible if you will not be able to attend. If you find that you are feeling unwell in the days before the wedding, please stay home for the safety of our other guests.

If you cannot attend, please keep us in your thoughts and hearts on _______ as we take our vows. (If you choose to go with a live streaming option such as Facebook Live…) As we have chosen to live stream our ceremony we hope that you will join us, from the comfort of your home. This is not how anyone envisions beginning that new and exciting chapter of their lives, however, we are doing so with an even greater appreciation of life and love. If there are any other developments or changes we will be sure to contact you as soon as possible.

HOW TO TELL PEOPLE YOUR WEDDING WILL BE POSTPONED

We have made the difficult decision to postpone our wedding to _________ and wanted to be sure to let you know. While this was a heartbreaking decision to make to was not nearly as devastating as the thought of knowingly putting our loved ones at risk during these uncertain times. Marriage is a commitment between two people that lasts a lifetime and a wedding reception is simply a fabulous party that can be rescheduled. Therefore, for the sake of safety, this is the route that we have decided to take. At this time we are working with our vendors…things are changing rapidly, however, and there are several unknowns. We will be reaching out to you as soon as we have further information to share.

In the meantime, stay healthy and safe and please hug your loved ones at home from the both of us.

HOW TO UN-INVITE PEOPLE TO YOUR WEDDING

Over the past week the world has become a place that we can hardly recognize. the COVID-19 virus is changing things and we are all doing what we can to keep up and stay safe. We have all had some very difficult decisions to make. Due to the ongoing pandemic, we have made the heartbreaking decision to dramatically reduce our guest list to adhere to CDC mandated numbers of people gathering so that our wedding can still take place.

We are so sorry to have to do this, but at this point we have to cancel our invitation to our wedding on __________ at ___________. We hope that you understand that we never imagined having to take these drastic measures. We love everyone single person we invited to celebrate our love with us. (If you plan to have a reception at a later time.) We are working on rescheduling our reception for a later date when this world wide crisis has passed, however, right now with things being so uncertain we don’t have a firm date. As soon as we have more information on that we will be in touch.
